One project, two experiences

The public website introduces The Switch and its financial services to dance and boutique fitness studio owners. The private portal supports the relationship after a client gets started.

Together, they create a more connected experience—from understanding the offer to managing recurring financial work.

The public website

We designed and developed a confident, responsive website that speaks directly to studio owners and makes The Switch’s specialized expertise easy to understand.

Focused messaging, clear service paths, and a distinctive visual system give prospective clients a direct way to understand the value and take the next step.

The operational challenge

The Switch relied on email, chat, shared documents, and manual reminders to collect client financial information. Missing statements and disconnected accounts created repeated follow-ups and bookkeeping delays.

Email + Google Chat + Shared documents + Manual reminders → Fragmented workflow

The client portal

We built a responsive, role-based portal that brings onboarding, statement collection, document history, communication, budgets, and reporting into one system.

Clients + Relationship managers + Administrators → One portal

Designed around four roles

Automated reminders keep the monthly process moving. Dashboards give the team real-time visibility across every client.

01

Administrators

Manage clients, team members, permissions, and assignments.

02

Relationship managers

Review statements, request replacements, and share documents and reports.

03

Bookkeepers

Complete reconciliation and reporting once statements are in place.

04

Clients

Upload statements, track progress, receive notifications, and message their manager.

The monthly workflow
RequestUploadRemindReviewReconcileReport
01An administrator creates the client and assigns a relationship manager.
02The client receives secure portal access.
03Each month, the client uploads required bank and credit-card statements.
04Automated reminders continue until the required documents are submitted.
05The relationship manager reviews the files and requests replacements when needed.
06The bookkeeping team completes reconciliation and reporting.
07Clients return to the portal for documents, notifications, statement history, and messages.
Reusable workflows

Task templates let The Switch create recurring client tasks and reports without rebuilding the process each month.

The team can standardize assignments, requests, reminders, and reporting while adapting the workflow for individual clients.
